Does the facilitator need to have a schedule?
Yes the facilitator has to have a shift that overlaps with the Attendee(s)
If your facilitator(s) are not in Workforce Management you can add their availability as Session Availability constraints to limit when the Activity Plan can look so schedule sessions.
Can an activity plan run with unpublished schedules so we can get the dates, times, and groups ahead of time?
Activity Plans are run during Schedule generation to populate a new schedule with sessions that can be viewed before the schedule is published.
Or do we need to wait until the schedule gets published.
You can also run the Activity Plan on an ad-hoc basis and it will update all future published schedules with scheduled sessions.
If I update the forecast to a published schedule, will this affect the activity plan?
Existing sessions will not be affected, once a session has been scheduled we don't re-optimise it. This is on the basis that if you have had to coordinate rooms, external resources, and facilitators that might not be flexible to move at short notice or might result in additional admin tasks.
Any newly created sessions will use the updated Forecast, Required Staffing and predicted Service Goal values to determine the best time for the new

I'm hoping to have more detailed information as I need to train our Supervisors on how to use it, why we select certain things in the activity plans, what we can ignore, and what each option means. The video available in the Beyond Library does not provide all necessary information that I am looking for, so any further documentation available would be welcome.

Specifically, I'm looking for documentation that explains what Activity Plans are, how they relate to published schedules, work plans, etc.
The release notes provide some instructions on setting up an activity, but they don't offer much detail beyond that. Could you point me to more comprehensive resources that can help with understanding and effectively using this new capability.
