Agent Time Off Requests

    A few questions for the community if anyone can provide some guidance regarding WFM.

    1.  Is there a place the Reps can see who is already requested off from their team?  
    2. Is there a way the Reps can actually see how many hours are remaining in their group allowance buckets for the team instead of the "fire symbol"?
    3. If a Rep wants to cancel their time off , why does it cancel out their normal schedule for that day and the Admin has to rebuild?
    4. Is there a way for you to build out schedules longer for 6 weeks?   Say, we would prefer building out at the quarter instead.
    5. For reporting purposes, is there a better reporting system that allows you to export for training, high-level schedules, etc.

    Greetings!

    I'll try to answer from what I know, but anyone else from Genesys or the community is free to offer suggestions/corrections (which may also help my team).

    1. Not without giving them additional permissions that risk allowing them to approve their own requests. We have some Supervisor visibility for our organization, and it's been tricky to navigate the permissions were we want them.
    2. I don't think the hours are visible. I would love to be wrong about this though. We don't use the auto-approval because of issues with requests entered before we were ready to go-live and some baffling decisions regarding the way the auto-approval treats existing requests.

    4. I don't think there is a way without going to a new set of 6 weeks. We schedule weekly, so this isn't something I have much insight to.

      1. I'm our team's main reporting person, and we have 3 business units with weekly schedules. Pulling any kind of reporting is a headache requiring a large number of activity exports to get anything done beyond a week.

    Hi

    I have many of the same questions as you.

    In regard to Q3 - the shift is removed at the point that the time off is approved, so when is it cancelled it leaves a gap.  There are a few ideas in the ideas portal that relate to this - have a look at Revert to the last scheduled shift | Genesys Cloud Ideas Portal (aha.io)

    Re Q4 - I know there is something on the roadmap for long term F&S but I can't find the reference, sorry!

    Thank you all for the great questions and responses. For #3, we are working on a feature that will insert the schedule back, but I don't have a time frame for it. Possibly, be late next year.

    Hi Damaris, has this feature been added yet? I'm in the middle of scenario testing time-off requests prior to rolling it out, but the full schedule is still removed after an agent has cancelled a request. Thanks

    Hi Amy,

    I'm sorry to say that no, it's not implemented yet. We are working on the technicalities but this is still a feature that we are actively working on.

    As we are working on this, I have a question for you. Would it be better to insert the 'best' schedule according to the agent's work plan? Or, would you only want us to re-insert the previous schedule? We sent out a survey that asked this question and the majority said they would like to insert the best schedule according to the work plan because this would respect work plan constraints. I'm curious about your thoughts (or anyone else that would like to chime in.

    Thanks for the quick response, Damaris. Is it on the roadmap for next year? 

    It would be ideal if we could have both, so having the option to either insert a schedule according to their work plan or reverting to their previous schedule. 

    In the meantime, if you or anyone could suggest a workaround that is less manual, that would be great!

    Hi Damaris,

    I agree with Amy, giving the WFM Admins the option of selecting which they would prefer is the better option, this allows each company to set which way they would prefer to handle leave cancellations.

    Agree with others that it would be ideal to have both options. However, if only choosing one I would say the best schedule according to the work plan and schedule data (where coverage is needed most).

    I would vote for it to revert to the last schedule on there and, if there wasn't one because the Time Off request applied in the original generation, then it would revert to the workplan.   This way I would get back any manual adjustments I had made prior to them taking the day off, if it was approved after schedules were already published.
