  • 1.  Auto-approving time-off requests. If restricted activities are detected (fault)

    Hi,
    We've spotted an issue when leave requests go to pending as they are scheduled on training for example preventing auto approval. It correctly sits in a pending status but is not in a waitlist and allows other latter requests through using up the allowance. I've had to turn the restricted activities off to prevent them losing out.
    Screenshots below show the 1st request in pending activity code and the 4 requests put in afterwards are approved and used up the allowance that day
    Automate and streamline workforce management time-off requests for published schedules

    Administrators can now automate the management of time-off requests for published workforce management schedules. When a time-off request is approved (whether through auto-approval or manual approval by a supervisor), the system automatically syncs the request with the published schedule and republishes it without requiring manual updates. To further enhance schedule integrity, supervisors can configure rules to check for specific activity codes in published schedules before auto-approving time-off requests. If restricted activities are detected, the system holds the request for manual review, ensuring that potential conflicts are addressed before the time-off request is finished. These updates reduce administrative effort, improve schedule accuracy, and enhance agents' visibility into their approved time-off, all while helping supervisors manage schedules more effectively.

     Hi Mike,

    Time-off requests affected by restricted activity codes do not enter the waitlist because the system treats restricted activities as a preliminary condition that must be cleared before the request can be queued. Agents whose requests satisfy this condition are allowed to submit successful auto-approved requests, potentially consuming the available time-off allowance. As a result, the latter requests were automatically approved, using up the day's allocation.

    In this scenario, the admin has two options:

    1. Deny the request: No time-off hours will be allocated.
    2. Approve the request: The request will count against the time-off limits, and the hours will be deducted from the available time-off balance.

    Hi,

    The risk of the allowance being used up by other people is too large. We've turned this function off as it doesn't work in the way I'd expect it to do so.

    Is your expectation that a request with a restricted activity code be waitlisted and suspend any waitlist progression until approved/denied? For that the blocking of the waitlisted requests that do not have restricted activity codes would be terribly undesirable by the majority of users.

    Hi,

    Yes that would be my expectation and how it worked on a previous WFM system we used, further requests would sit behind it until it was reviewed. Could an option/toggle to waitlist conflicting requests be created to cover those that want it and those that won't?

    I agree, I think this would be a good idea for admins that would like the requests to count toward the time off limit. Could you submit an idea via the portal with your use cases? I want to gather multiple ideas regarding enhancing this feature. Thank you so much for your support.
