Inflated requirements help

    Hello! 

    Seemingly overnight a couple weeks ago, the staffing requirements for the groups I forecast jumped. They no longer represent reality, inflated in my estimation 25-35%. 

    • Example in voice, service goal 2 mins, staffing required (no shrink) -30% to scheduled, still landing a 1 min or sub 1 min wait time. 

    We basically cannot use over/unders at all anymore, can't optimize schedules, etc. Every interval looks like Armageddon. 

    Does anyone have an idea of what might be causing this? We recently changed planning groups as we reconfigured queues, could that be anything?

    When you changed planning groups, did you produce new forecasts, and schedules? Existing forecasts and schedules use what were the planning groups at the time of their creation.

    Across your BUs is there shared load?

    With any significant configuration change, it will take time to get in enough data for the models to improve. In the mean time you might have to make forecast changes. 

    How 'fractured' is your load and resources? E.g., is it more homogenous (few route paths and few agent capability sets) or heterogeneous (many low volume route paths and many different agent capability sets). If you have many planning groups with say 100 interactions a week, the law of small numbers will be in play and the economies of scale won't be realized.

    If nothing obvious, I would recommend opening up a support ticket.

    We have experienced this ourselves. We thought it had to do with a higher call volume we encountered in November, but now we are wondering if there is something else going on.

    It doubled the number of agents we would need On Queue in this last schedule I generated. We are using the Automatic Best Method Selection, and were going to try and revert to the Weighted Historical Index and play with the call volume numbers to see if that makes any difference.

    Have any of you heard from Genesys? We are encountering similar situation on our side. we have looked into our schedule shrink for the MU's, we have not made any changes to our planning groups.

    I currently have an open case on this that we have escalated . I am trying to setup a 2nd meeting with Genesys to continue speaking on this as it it impacting our reporting that we put together for a couple weeks now, and our busy season begins to hit in January.

    I opened a ticket and they basically said, everything looks fine to them. I countered with more evidence and am waiting to hear back.

    Same here. We provided multiple instances from our businesses. They advised that it was due to modifications to the forecasts and the fact we made changes to 1 planning group. We asked for a Zoom meeting as none of this is adding up, especially with more and more clients experiencing the issue.

    Latest Update I received

    Hi Pierre,

     

    This is to let you know that we have raised a ticket to Servops.

    We've found the issue(s) and are working on getting fixes out. It will be a 2 step fix that will require a deployment of predictions-simulation, then we will need to make a switch in our data pipeline to run.

    Our Dev advised that they are working on a more detailed timeline once we get the CMs generated, but we're pretty confident we can deploy this week to resolve before the break. Will update you when we have more.

    Hello,

    Would you let us know what are the issues, it is good for others that they can see improvements now. But, today upon generating, as compared to inflated requirements, I am getting too low and occupancy calculated is more than 100%, same Offered/AHT imported but different requirements result. I think it is case to case basis, and for my case my solution is to modify the service goal template, and have to wait for another day because it seemed that the changes you made in the configuration is not reflected real time in the system back end, which is quite tedious.
