    Hi Community, 

    this week sees the release of "Manually assign work plans with future effective dates".

    This feature allows administrators to set up work plan changes in advance, making it easier to manage planned transitions between Work Plans, for example, full-time to part-time schedules or early shifts to late shifts. The schedule engine automatically applies these updates during future schedule generation, reducing the need for same-day changes and minimizing manual workload. 

    To help understand the details and use cases for using Work Plan effective dates I've attached a walk-through video to guide you through the process.

    Start and end dates already exist for Work Plan Rotations.

    I was under the impression that if you assign a Workplan Rotation with a future start date for an Agent it removes them immediately from their current workplan.

    Hi Tim, 

    When assigned to a single-week work plan this becomes your "default Work Plan" and underlies any work plan rotation (or work plan override) you have, this is depicted at around 1:48 of the video.

    The scheduler only schedules the agent for the rotation based on their start and end dates within the work plan rotation --> agents tab:

    In the above Adam would be scheduled according to his single-week work plan until the 4th of November, then transition to the rotation until the 12th of November when he'd transition back to his single-week work plan.

    For the Work Plan Rotation feature as it exists, could this be used as a way to implement "temporary" schedules as well? For example, school schedules, when we're accommodating an agent's need for different hours on a 3-month basis? From what I'm understanding, we could create a "SS Agent" plan, assign it to one agent with an End Date, and then put the temporary schedule as the only schedule in the Rotation; is this accurate?

    I understand how it works for Workplans so assuming this will not work when we want to move a CSR from one work plan rotation permanently to another with a future date (beyond a date where schedules have already been generated)

    Hi Timothy, 

    I'm sorry for the misunderstanding.

    The behaviour for work plan rotations hasn't changed so what you are saying is correct. An agent can only be part of 1 work plan rotation at any time, regardless of their start and end dates. 

    Moving someone from work plan rotation 1 to rotation 2 before their end date would result in them moving to work plan rotation 2 with immediate effect.

    Thanks for the clarification Paul, are there any plans to introduce similar start/end date functionality for rotations that don't remove the agent before the  start date from their current rotation.  This is the functionality that would provide the most benefit for our organisation.

    100% agree with Timothy Milburn.

    Our business has relief staff who cover other staff for periods of 3 - 8 weeks at a time.

    Being able to set the WorkPlan Rotation for a 5 week period - 16/12/2024 - 19/01/2025 would be amazing.

    As it is currently, we have to use 5 of the available 15 slots in order to create coverage:

    16/12/2024 - Supervisor Workplan week 4

    23/12/2024 - Supervisor Workplan week 5

    30/12/2024 - Supervisor Workplan week 6

    06/01/2025 - Supervisor Workplan week 1

    13/01/2025 - Supervisor Workplan week 2

    If someone is away for 6 months on Maternity Leave, the individual Workplans just won't cut it.

    Hi Wayde, 
    from what you have described both the new Effective dating of Work Plans and Work Plan Rotation start and end date configurations would help you manage the relief staff's transition between Work Plans.

    Hi Paul,

    We are "Workforce Planners", not "Workforce Leave it to the last minute".

    Quite Often, we will have 6 months of Supervisory Coverage planned in advance.

    The Effective Dating of Workplans, only allows a maximum of 15, and for 1 x 5 week coverage block, I have to set-up 5 individual Workplans, rather than a single rotation with a 5 week span..

    The other thing is the End-dating of Work Plan Rotations can ONLY occur where you are generating a new weeks schedule, Moving someone from work plan rotation 1 to rotation 2 before their end date would result in them moving to work plan rotation 2 with immediate effect. 

    Happy to Discuss further, as I feel this is a much needed enhancement as Timothy Milburn said. I'm sure we aren't the only 24x7 rotating call centre, who has relief staff that are planned to cover for more than 15 weeks.

    Our relief staff are actually covering other Managers for 39 weeks out of the 52 weeks in the year.

    Hi Wayde, 

    thanks for the feedback, when designing this feature for Work Plan bids our research pointed towards a cadence of monthly bids for our most frequent Work Plan changes. Setting the initial limit to 15 would have enabled over a year of Work Plan bid cycles with some room for preparing the next quarter's bids.

    When making the feature available for manual Work Plan assignments, again we assumed that work plan changes are infrequent for most employees. Your use case was 1 that we had not seen/heard of during our conversations and research. 

    To help us gather more information about this and prioritise future work I have created the idea:

    Increase the number of Work Plan Overrides from 15 to allow for relief and cover staff to be allocated more frequent work plan changes

    Please could you take a look and ad your vote/comments to help with our understanding? (I have used your example above as the first use case)
