    During the establishment of the Activity codes, if the Category is classified as Time off, will all associated activities set up within the Time off plans be deducted from the Time off limits?

    Also inquiring about time off limits and the automatic approval of PTO requests. If an agent's PTO is approved, whether automatically or manually, and is later canceled, will the PTO balance be adjusted automatically, or will it necessitate a manual correction in the time off limits?

    Yes  - when you define an Activity Code whose Category = Time Off, any activities created under this category and linked to a Time-off Plan will deduct from the agent's Time-off limit balance.

    In short:

    • The "Time Off" classification tells WFM that these activities represent non-working time that must reduce available PTO hours or days.

    • So if you create multiple activity codes (e.g., "Vacation," "Sick Leave," "Personal Time") and associate them with the same Time-off Plan, they'll all pull from the same limit defined in that plan.

    If the activity category is anything other than "Time Off" (for example, "Meeting" or "Training"), it will not deduct from Time-off limits.

    Time-off Limits and PTO Request Approvals

    • When an agent's PTO request is approved - whether it's auto-approved (based on rules and limits) or approved manually - the system immediately deducts the requested hours/days from the agent's available Time-off limit.

    • If that same request is later canceled (by the agent or a supervisor), the system will automatically credit those hours/days back to the Time-off balance.

    • No manual adjustment is required in normal circumstances.

    The only time you'd need to make a manual correction is if:

    • Someone manually deleted or modified a time-off entry outside of the WFM Time-off request process, or

    • There was a sync or configuration issue with the Time-off Plan itself.

    Hi @Holly Stauffer

    To piggyback on @David Betoni, if you want a Time Off Activity code to deduct from the Time Off Limit, my experience is you have to assign the specific Activity Code to the Time Off Plan.  If you want all the Time Off Activity Codes to be associated with a single Time Off Plan, you have to check all the boxes to associate all the codes.  Hours are deducts based on the specific code, not overall category.
