PTO Bidding

    I'm curious what others are doing these days for 2024 PTO Bidding.  I've not done a manual PTO Bid since the late 90's when everyone was in the office and we used paper :)   Curious what you all are doing in post-covid days when our WFM tool doesn't offer a bid function.  Thank you

    I'll let our wonderful Community members assist you with your question but I would recommend you go to the ideas portal and vote on this idea for Time Off bidding and add your use case to help our Prudct team understand the needs of a variety of customers.

      We are doing a manual bid, as we currently see no other option.  We will need to make a Google Form, work the spreadsheet to approve the full-weeks, and then enter the requests in the Genesys, ourselves.  Because we are still not able to place agents in the same MU into different time off groups (AM, MD, PM), we cannot have them enter their requests directly into Genesys as that would take even longer.  When it comes to time off requests as a whole, we can't have our agents use the Full Day feature because 1) we can't see what time of group they should belong to (AM, MD, or PM) and 2) Full day covers the 24-hr period, thus camouflaging exactly what intervals were impacted by the time off.  

    In my perfect world:

    1. Agents would be assigned a time off group (AM, MD, PM or whatever groups we wanted)
    2. Genesys would be able to recognize what days and hours an agent was scheduled to work and time off requests would only cover those periods so if an agent requested a full day, their scheduled hours (and only those scheduled hours) would be covered by the time off activity segment.  If they put in a full week, the days and scheduled hours (and only those days and scheduled hours) would be covered by the time off activity segment.
    3. When an agents schedule changes, Genesys would be smart enough to make the adjustment

    Thank you Gina,  I appreciate the info.   I saw this morning the PTO Bidding Idea has moved to Under PM Review. This is probably good news for the 2025 bid.

    There is a time off planning additional feature that is in progress that will help with your #1 item. 

    Staffing Groups for Granular Time-off Limits (Planning for Q4 Beta)

    • Provide the ability to create a group of agents in more flexible ways beyond using a management unit. Then, manage time-off plans and limits for these groups of agents.

    • Breaking down agents into smaller groups allows for more specific plans and limits to be set for only these agents assigned to the staffing group.

    Yeah, we are a newer call center so that made it easier than having a long-established bidding process to overcome. I've worked at other centers that made the change however, after proving tenure did not equate to performance. It was a little rough initially, but we pulled through as we had leadership buy-in. Also the agents hated the process, the waiting, the errors...so while it had its drawbacks (some very vocal), it had it benefits to the agent too. 

    When we had bidding, the agents entered requests in Gen but with no time-off limits or approval, Gen just held and timestamped the request. WFM went through and approved based on tenure, or whatever metric. We accepted bids for two weeks. After that was complete and all approvals made, we opened it to first come first serve. Gen still held all of the requests, but WFM manually approved and declined and tracking was done in Excel. We did this quarterly, and it was a nightmare. We probably saved 8 hours a week by using the automation.
