The Genesys Quality Management team is pleased to announce that it is now recruiting candidates who are interested in using our new "send email notification" workflow block in Architect.  This feature allows users to send email notifications as part of a workflow.  To use this feature, access the Architect toolbox and you will see a new "Send" action.  Once expanded, select "Send Notification" and a new panel will appear asking you to fill in the required information.  This beta covers email notifications only, meaning we don't support sending other types of notifications such as SMS.  If you have any questions, please reply to this post.

     This beta starts July 5th!!

To apply, please fill out the registration form here

    Hi Michele,

The only limitation that we could see in resource centre is the 'maximum of 50 recipients'.

Are there any limitations with regards to the total number of notification emails that can be sent with respect to a workflow/instance etc..?

    Thanks and Regards,
    Sriram L

    Hi Sriram,

Great question there is a limitation on the number of times that the "Send Notifications to Users" block can be executed in a Workflow to prevent a badly written application from performing a loop on email sends. The limit will be set to 3 notification sends allowed per Workflow execution.

Could you explain how this differs from the auto-reply action, in form and function, and use case scenarios for this and auto-reply and why one would be used over the other. Thanks

    Hi Bruce,

This functionality is a bit more expanse and is not limited to be triggered by a customer message to begin with and you can define it to be triggered by other things, such as a QM evaluation state change. For example, if an evaluation is completed and released that could be set as a trigger to send out a notification email.

Is this email notification only linked to QA things or will we also have it for when certain activity codes are added to a schedule, such as Time Off?

    Hi Gina,

I'm from the QM side so I can't speak for WFM but the intent of this functionality was to be used freely and not limited to QA.

Unfortunately those topics are not yet available in Process Automation.  You should filter the list:

    @Michele Fisher

This is a nice enhancement that has recently gone GA!  Thank You

Now like so many customers & partners, we want more!

From what I see the "Send Notification"  tool is only available in "Workflow"(s)
I would be thrilled if this could be used in other flows, personally my first thoughts would be "Inbound Call" & "In Queue Call"  any plans to expand current abilities?

Secondly, it appears that these Email notifications can only be sent to users configured in the GCcx Org,  I can think of several use cases where this would be very beneficial.    Also if external emails are allowed,  we can then send SMS via the Mobile providers Email to SMS feature i.e.   NPANXXnnnn@vtext.com this is Verizon, most all mobile providers have this feature.

Again  give us an inch and we will take a mile!

Thank you for you and your teams' efforts!  Would love to hear what the future holds for this feature.

The intent of the feature is to notify Genesys Cloud Users when triggers occur on the platform (i.e. Evaluation Assigned, or in the future: changes to Schedules or Assignment of Learning, a certain Topic is detected, etc.).  The intent is to notify USERS, not customers.

For sending SMS or Email to customers, there are other methods to do that.

If we provided this in other Flow types, how would it be used to Notify Users?  Under what use case?

    Thanks for the feedback!

I do have a use case wtihin initial and supporting flows.  It would be nice to get an email alert when a data lookup / data action fails.  Additionally in some cases it would be beneficial to add user notifications to tasks even on success or failure.

Hi Joe, You can do this now albeit a bit more cumbersome. On the failure leg of your data action execute a workflow (using another Data Action) and then send the email from the workflow. What would actually be nice is an Execute Workflow action from any flow so that you don't have to create data actions for each workflow and input combination. I did have a look and there is no idea for that at present.

Agreed, it would be nice to execture a workflow on ANY flow.  Thanks for the feedback, I will investigate the data action option you gave.

I'd be interested in understanding this more, mainly to understand what you'd be expecting to do with an email regarding a specific failure of a data action.  My main concern about this is that data actions run quite often in many orgs, and they could potentially fail for reasons that can't be resolved by configuration changes (i.e. bad user inputs withing the flow); this could result in a flood of emails that are not actionable by the receiver.  So, I'd like to understand better the problem you're trying to solve, and if there are potentially some other ways we might be able to solve it for you.
